Use case · No-show recovery
No-show recovery that calls and rebooks the meeting within minutes
When a Calendly invitee cancels, or your closer marks a meeting as missed, SuperCampaign texts the lead, calls them with an AI appointment setter, and books a new time on the call. Your calendar refills itself.

A no-show is not a lost lead. It is a lead nobody called back.
Most teams send one apologetic email and move on. The lead still wanted the meeting; something got in the way. The rebooking has to happen while that intent is still warm.

How the campaign runs
What the campaign does after a missed meeting
One published workflow handles cancellations and no-shows the same way: text, call, rebook, confirm.
- 10:00
The meeting is missed or cancelled
A Calendly cancellation fires the trigger automatically. For a no-show, your closer adds the tag with one click, or your CRM does it through the API.
- 20:01
A text goes out
“Hi Sarah, Riley from Northstar Coaching. Looks like today's call with Marcus didn't happen. Calling you in a few minutes to find a new time.”
- 30:10
The workflow checks the calendar
If the lead already rebooked themselves from the cancellation email, the check-meeting node sees it and the campaign stops. No awkward double call.
- 40:11
The AI appointment setter calls
Riley acknowledges the miss without blame, offers two live slots from Calendly, and books the one the lead picks. The new invite goes out on the call.
- 5No answer
Retry next morning, then hand off
Voicemail detection ends the call cleanly. The loop counter tries again the next morning inside your calling window, then tags the lead for a human and sends an email.
What the call sounds like
A rebooking call that never sounds like a guilt trip
The agent acknowledges the miss, skips the blame, offers two live slots and confirms the new time. Under ninety seconds, and the lead hangs up feeling looked after.
Illustrative transcript from a no-show recovery campaign. Names and times are examples.
Hi Sarah, this is Riley from Northstar Coaching. Looks like today's 2:30 with Marcus didn't happen. Totally fine, these things come up. Do you have a minute to grab another time?
Oh no, sorry, I got pulled into something. Yes, let's rebook.
No problem at all. Marcus has tomorrow at 10 or Thursday at 4. Which is better?
Thursday at 4 works.
You're rebooked for Thursday at 4. The new invite is on its way and I'll text you a reminder that morning. Anything you'd like Marcus to prepare?
No, that's great. Thanks.

Cancelled showings and consultations are rebooked while the buyer is still looking.
Admissions
Missed counsellor calls turn into rescheduled ones, with a text and an email confirming the new time.
Insurance and finance
Quote and review appointments get rebooked inside your compliance window, with every call logged.
Setup
Set it up in an afternoon
Connect Calendly, decide what counts as a miss, write the script, publish.
- 1
Connect Calendly and your numbers
Authorize Calendly, add your Twilio numbers and your Vapi key. Google Calendar and iClosed work the same way if that is where your meetings live.
- 2
Pick the trigger
Use the Calendly trigger for cancellations. For no-shows, create a tag such as no-show that your closer applies from the contact page, or that your CRM applies through the API.
- 3
Add the calendar check
Drop in a Calendly check-meeting node before the call so leads who already rebooked are skipped automatically.
- 4
Write the rebooking script
Acknowledge the miss, do not assign blame, offer two slots. Attach the Calendly get-slots and book-meeting tools so the agent can book live.
- 5
Publish and watch the runs
Every run shows the trigger, the call outcome, the transcript and the new booking. Unreached leads are tagged for your team.
FAQ
Questions about no-show recovery campaigns
How does SuperCampaign know a meeting was missed?
Cancellations arrive automatically through the Calendly integration, which fires a trigger the moment an invitee cancels. For true no-shows, where the time passes without the lead appearing, your closer adds a no-show tag to the contact with one click, or your CRM adds it through the API. Either event starts the same campaign.
How soon after the miss does it call?
As soon as you like. Most teams send a text immediately and call about ten minutes later, which gives the lead time to see the message and makes the call expected rather than surprising. Calls only go out inside the quiet hours you set.
What if the lead already rebooked from the cancellation email?
A Calendly check-meeting node runs before the call. If the lead has an upcoming meeting, the workflow takes the rebooked branch and stops. Nobody gets a call about a meeting they already fixed.
What happens if they don't answer the rebooking call?
Voicemail detection ends the call or leaves the message you wrote. The loop counter retries on your schedule, for example once the next morning, and then tags the contact for a human and sends a follow-up email with a booking link.
Can it rebook into Google Calendar or iClosed instead of Calendly?
Yes. The agent's booking tools exist for Calendly, Google Calendar and iClosed. Attach the tools for the calendar your closers use and the agent books there.
Does it also send a confirmation text and email?
Yes, in the same workflow. Add a send-SMS node after the call for the confirmation and an email node for the invite details. Both support merge fields like the contact's first name.
